Welcome everyone to the “Teleworking Era”. The use of new technologies is already widespread and used by the whole society. However, it is true that there are people who are not so used to 100% online work.

This post is intended to show you a series of applications and digital tools to make your online work much easier, especially if you are part of a team with more coworkers where coordination and collaboration are the essential pillars for achieving any good work. #1. For those of us who NEVER remember any password:

  • 1 Password: The salvation to all my problems is this application. Thanks to it, you can collect and save all your keys and passwords for all the programs and applications you use at work. This way, you don't have to write down your passwords on any piece of paper (which always ends up lost somewhere) and you don't have to remember each and every one of them. Thanks 1 Password!

#2. For organization and synchronization with the rest of the components of the work team:

  • Trello: This tool is ideal for putting order into the work that is being carried out through the efforts of several people who form a team. It consists of a board or dashboard in which we can create lists, and within each list, a series of actions (cards). To make its functionality a little clearer, I will give you an example based on how I use this application in my personal life (yes, I need a little help to keep order in my day to day life). I have created three different lists on my board:
  1. Pending tasks
  2. Tasks in progress
  3. Tasks already done

Inside each list, I write down all the things that:

  1. I have pending to start: call technical support to fix my wireless connection.
  2. I've started, but not finished yet: sign the lease for my apartment and register in the city.
  3. I'm done now: open a bank account.

This tool allows you to select each action within its corresponding list and move it between the lists as you begin and finish your tasks. For organizing the work of a single person it is super useful, but when there are many hands touching the same project, I consider this tool to be absolutely essential to know the status of the work and its progress.

  • Asana: essential for good intra-team communication. This application allows us to know what the rest of the project members are doing. In this way, everyone knows how the work is being carried out in the different tasks that comprise it. It seems a bit complicated, but it is very easy to use.
  • Calendly: In cases where we need to hold regular meetings, this tool really comes in handy. It allows us to schedule meetings y conferences on the calendar, allowing our guests to also schedule meetings as they see fit. Communication and organization above all.
  • Slack: I personally love this app because of the ease it offers when it comes to chatting between project members. To compare it with something more common, it's like a WhatsApp group of coworkers, but obviously much more professional. With it, we can forget about traditional emailing (copy and paste to all members). Instead, we write the message in Slack and we manage to instantly reach all recipients of the message.
  • Dropbox y Google Drive: Both tools are dedicated to storing files and documents in the same space, which can be accessed by all team members, making changes, uploading or downloading other files, etc. In addition, you can access these platforms from anywhere in the world.

#3. For teleconference participants:

  • Zoom/WebEx: We use these two tools in Inspira Workspace, although lately we are leaning more towards Webex, because in the face of the saturation that the network is suffering with the coronavirus crisis, Webex is performing better. A virtual room is created and all the members you want (up to 50) have access to it. The quality of both image and sound are optimal. From Inspira we have given access to our Clients to our corporate Webex account for free. The idea is that you can hold work meetings with the rest of your team while each one is at home.
  • YouTube Live: which is actually live videos through YouTube. You just have to share with your colleagues the URL that the program will provide you and that's it. I include this tool because there are many gym teachers who have been unable to continue teaching their classes in these facilities. Well, since I love the world of Instagram, I will tell you that I have never seen so many live videos in my life: live makeup tutorials, live Zumba classes, step-by-step creation of a tasty Valencian paella, even DJ sessions playing from their homes, ... Everything. It can also be a good option to continue teaching your classes or providing your knowledge to students, colleagues or simply curious people and random people who have caught your attention.

 

#4. What if I need to sign and scan a document? Below are two applications that have saved my life many times due to their usefulness, convenience and speed.

  • Adobe Fill & Sign: This is an app that you can download to your mobile phone in a matter of seconds and that will allow you to sign any type of document. First, it asks you to draw the signature of your signature, turning it into a kind of “image” that you can insert anywhere in said document. It comes in handy when we have to sign a contract and we want to speed up the process. Also, with everyone confined to their homes, what other choice do we have?
  • Camscanner: Just as convenient and useful as the previous application, Scamscanner allows us to scan the documents we need by downloading them to our Smartphone. It's as simple as taking a photo of the document in question and the program itself creates a high-quality image, eliminating the highlights and shadows that are created in a photo and cropping the image flush with the edges of the paper (it really looks like a real scan).
