Every day I am more surprised by the immense variety of types of meetings and events that exist. Since I have been working in Inspira Atocha Business CenterI am very lucky to be able to organize very diverse and different meetings.
This is when you realise that every meeting requires needs that have nothing to do with each other. Therefore, it is extremely important to know how to satisfy these needs so that the meeting can develop as successfully as possible.
In this post I will explain, based on my experience, the types of rooms and spaces that we must adapt for each type of event (or a few, given that the list of types of meetings and celebrations is endless). The characteristics of a room will depend on the number of people it must accommodate, the nature of the meeting (if it is more private, its intimacy will be taken into account, non-glazed spaces, etc.), the lighting, the arrangement of the furniture or, on the other hand, whether no furniture is needed, etc.
But well, the first thing we have to take into account is the number of people who will attend the meeting. In our center we have six rooms of different sizes. I will list them from smallest to largest:
For a number of people up to 8 attendees:
- Botanical: for smaller gatherings, ideal for four people.
- Retirement: It is also very suitable for four people, a little more intimate and is often used for internal company meetings or for conducting interviews.
- Recoletos: with views to the outside, ideal for hosting a group of 6 or 8 people. Perfect for meetings bathed in beautiful natural light and, like Retiro, for conducting interviews. In fact, I have a special love for this room as it was where I conducted my interview to be part of the Inspira Atocha team (and it worked! ^^).
- Prado: For larger meetings, we have this room that also offers us the convenience of allowing us to organize it in various formats, such as a meeting, theater or U-shape. A very good decision in case you need to project a presentation.
For a number of people up to 16 attendees:
- Neptune: This room with large windows is accessed through a beautiful glass door. Like Prado, it can be set up in different formats, depending on the nature of the event. It is especially designed for medium-sized meetings.
- Delights: Our most versatile room is always a great option for many types of meetings, such as presentations, training sessions, screenings or group dynamics.
For a number of people up to 28 attendees:
But the most special thing about our facilities is that, by joining some rooms with others, we create three completely different spaces that are the most requested by our most demanding clients.
- Inspira Space: What happens if we remove the walls that connect the Retiro and Recoletos rooms? Well, we find ourselves with our crown jewel: the Espacio Inspira. I love this room in particular. A beautiful light enters through the high windows, with views of one of the most important arteries in all of Madrid; the Paseo de las Delicias, always bustling with pedestrians entering and leaving hundreds of shops and other stores.
Another feature that I love is that it is located next to the reception, so it is super convenient in terms of accessibility and for asking us for anything you need, since we are right next door.
- Contemporary Space: From the union of Prado and Neptuno, we obtain our luminous Contemporary Space. It is designed to accommodate a large group of attendees and allows for an incredible variety of layouts and formats.
It's so versatile that I really can't think of a type of event that hasn't been held in this space. And I'm not exaggerating. Just last week, a group of makeup professionals met here. We set up the room like a school, since it was a training session, and we placed a reclining chair in front so that the students could watch the demonstrations being applied to the model sitting there. I really wanted to go in and practice with them.
For a number of people up to 60 attendees:
- Art Space: And we come to the most magnificent of our rooms. It is formed by the union between the Prado, Neptuno and Delicias rooms. It is the space for conferences and training par excellence, and can accommodate a multitude of positions: with or without tables, with or without chairs. Catering table, laptop service if you wish.
Many times, when my friend and I are opening the doors of the three rooms to organize the Espacio Arte, whenever we leave it well prepared for the event, we end up saying to each other: this room has something special, something magical. And I promise you that I don't know what it is, but it transmits a sensation of elegance and mind-blowing symmetry.
On the other hand, no matter how bright, comfortable or beautiful a room may be, we fully understand that spending time locked up in there all day long can be a bit tiring. That's why when a client requests to receive our service, Coffee Break o Lunch We turned a separate room full of tables and chairs into a completely empty space, except for a huge table full of delicious dishes. This way, guests can leave the room, stretch their legs, get some fresh air, mingle with each other while chatting, have a drink and enjoy our catering service (which after several hours on an empty stomach, is a great way to enjoy).
Well, that's it, versatility and adaptability are the keys to being able to satisfy any of the client's needs, which are not always the same. I remember once, as an anecdote, that we were commenting at reception that the next day a group of smokers were coming to do a hypnosis session to end their addiction to tobacco. I laughed: “Sure, and then we find them all hypnotized or asleep in the living room, right?” Then my classmates looked at me seriously and said: “Seriously, tomorrow a man is coming who practices hypnosis to stop smoking.” I was stunned. But that was the case. Because of the nature of the meeting, tables were not necessary. We simply placed a few chairs in an O shape and another chair in the middle for the “hypnotic professional.” However, many other times, the needs of a meeting require tables in specific positions, a large number of chairs, catering tables, projection screens and even huge Roll-Ups with the name of the organizing company, for example.
So that's what I mean when I say that every meeting is a world unto itself.
